Administrative Assistant

The growth oriented Vacation Newport team is seeking a full-time Administrative Assistant to support our dynamic vision and fast paced operation. Vacation Newport specializes in providing luxurious accommodations to travelers visiting Newport County year round. The selected candidate is expected to assist our Vacation Newport team with all administrative tasks which include, but are not limited to, the following:

  • Answer inbound telephone calls
  • Process invoices
  • Work efficiently as part of a team and working independently
  • Maintain inventory spreadsheets
  • Place orders and ensure order accuracy upon delivery
  • Maintain and update various Excel spreadsheets
  • Draft correspondences and other formal documents
  • Assist the sales team with scheduling appointments and planning events
  • Assist with check-in and check-out processes
  • Participation with the reservation process
  • Handle customer inquiries
  • Develop and implement organized filing systems
  • Participate in brainstorming meetings that assist in improving operations
  • Perform all other office tasks that are or become necessary


  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Exceptional attention to detail
  • Strong organizational skills
  • Ability to accept constructive criticism
  • Strong technical skills (proficient in Microsoft Office)
  • Customer service experience in the hospitality industry a plus
  • Must be flexible with hours and expect to work some holidays and weekends
