Accounts Payable & Office Administrator

Landings Real Estate Group is seeking to fill an Accounts Payable & Office Administrator position.

The primary function of this position is to assist in the day-to-day accounts payable and corporate office operations for a real estate development and property management company, under the direction of the CFO. Duties may include but are not limited to:

Accounts Payable Administrator Duties:

  • Prepare and process checks and online payments daily.
  • Onboard new vendors and maintain accurate W9 and insurance records.
  • Process statement of deposit accounts for tenants.
  • Communicate with tenants, vendors, and other professionals.
  • Complete timely credit applications.
  • Special accounting and ad hoc projects as needed.

Office Administrator Duties:
  • Answer, screen, and direct all phone calls for the organization.
  • Warmly greet and direct all individuals who enter the building
  • Receive, sort, and distribute daily mail.
  • Set up, confirm, send, and receive deliveries (UPS, FedEx, Staples)
  • Maintain inventory of office, kitchen, and cleaning supplies and replenish as needed.
  • Assist with travel arrangements, support with conferences and all members attending.
  • Decorate office for holidays and ensure décor is taken down within a reasonable timeframe.
  • As needed, run errands for leadership including dropping off deliveries and visiting the post office.
  • Fax, scan, copy, and print documents as requested by leadership.

Required Skills/Qualifications:
  • Proficiency in Microsoft Office including Outlook, Word, and Excel.
  • Candidate must present a positive, team-player attitude.
  • Excellent customer service and professional communication skills (both written and oral).
  • Ability to prioritize and manage multiple tasks simultaneously, in a fast-paced environment.  Initiative-taker, resourceful and able to work with or without supervision.
  • Ability to follow systems and processes and enter computer data in a timely manner.
  • Must have reliable transportation.
  • Knowledge of accounting practices and accounts payable skills.
  • Knowledge of Yardi property management software a plus, but not required.
  • High school or equivalent education (preferred).
  • Accounts Payable or Office Administrative experience: 1 year (preferred).

Job Type: Part-time (up to 30 hours per week)
