Talent Acquisition Specialist/HR Assistant Job Description

This role will be pivotal in assisting the Director of Human Resources with drafting and executing a company-wide recruitment strategy that complements both our current business model and plan(s) for growth. Candidate will also aid with the daily functions of the Human Resources department while maintaining continual emphasis on recruitment, onboarding, employee retention and talent development.

Secondarily, the role requires someone with acute attention to detail to help keep the HR administrative side of the operations organized and running efficiently.

As part of a longer-term strategy, this candidate will be afforded the opportunity to assist with, and participate in, various facets of Human Resources functional areas, allowing substantial career growth.

Primary Responsibilities/Duties

  • Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with managers/leadership team to understand skills and competencies required for openings.
  • Handles employment related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to Director of Human Resources or appropriate senior-level management.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; policies and practices to maintain compliance.
  • Meets regularly with respective members of management to stay up to date on upcoming needs, driving a proactive solution to hiring.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in talent management, human resources, and employment law.
  • Establishes and maintains contact with external recruitment sources within each geographic location.
  • In partnership with Director of Human Resources, performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; performance and talent management; productivity, recognition, and morale; and training and development.

Secondary Responsibilities/Duties

  • Participate in candidate onboarding and completion of new-hire paperwork.
  • Maintain all confidential personnel files and in-service records.
  • Provide administrative support to Director of Human Resources.
  • Replies to frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc., referring more complex questions to Director of Human Resources.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Perform general clerical duties, such as filing, copying, scheduling departmental meetings, ordering department supplies, etc.
  • Coordinate logistics for Human Resources events, meetings, and trainings.
  • Assist with other duties as assigned.

Experience, Skills, and Knowledge:

  • Personal integrity and the desire to maintain the highest standards is paramount.
  • 2+ year of comprehensive experience in talent acquisition.
  • International recruiting experience is preferred.
  • Knowledge of ADP Workforce Now is preferred.
  • Basic Human Resources Generalist experience preferred (not required).
  • Excellent interpersonal and negotiation skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Strong attention to detail with an obsession for accuracy.
  • Proficiency in Microsoft Office, particularly the use of communication and scheduling programs (i.e., Outlook, Zoom, WebEx, etc.).
  • Strong sense of self and confidence in abilities to be handed a project and push it across the finish line independently.
  • Excellent time management skills.
  • Self-motivated and resourceful.
  • Superior communication skills, including the ability to comprehend and inform others on information relevant to staffing needs/timelines.
  • Solutions-oriented mindset with high emotional intelligence and significant ability to work well under stressful, high-pressure situations.
  • Outstanding work habits and professional ethics to meet deadlines and handle confidential information with discretion and professionalism.
  • Strong organizational/prioritization skills.
  • Must be customer service-oriented with the ability to interface with all levels of employees.
  • Demonstrated ability to work independently as well as in a team environment

Education/Training/Licensing:

  • Bachelor's Degree or equivalent experience is required
